Privacy Policy

We collect very little. This page explains what the Harvard Boxing Club website collects, why, and what you can ask us to do with it.

Effective September 1, 2026

This website is run by the Harvard Boxing Club, a student-run organization at Harvard College (“the club,” “we”). It is a public information site: you can read every page without giving us anything. The only ways to give us personal information are the contact form and the newsletter sign-up.

What we collect

When you use the contact form we receive what you type in it:

  • your name and email address;
  • the category you choose (for example “Prospective Member”);
  • your subject and message;
  • the date and time you sent it.

To limit spam we also keep a scrambled (one-way hashed) version of your IP address. We cannot turn it back into your IP address, and we use it only to notice when the same visitor sends many messages in a short time.

When you subscribe to the newsletter we receive your name and email address, and the date you signed up. We send you a welcome email straight away.

To stop the forms being misused to email strangers, we also keep the address typed into a sign-up or unsubscribe form, together with a scrambled version of your IP address, for up to 30 days. This is used only for rate limiting.

When you simply browse, our hosting provider automatically logs standard technical information (such as your IP address, browser type and the pages requested) to run and secure the site. We do not use advertising or analytics trackers on this site.

How we use it

  • To read your message and reply to you.
  • To keep the contact form free of spam and abuse.
  • To send you occasional club news and event updates by email, but only if you subscribe to the newsletter.
  • To run, secure and maintain the website.

We do not sell or share your information, use it for advertising, or add you to the mailing list because you wrote to us. You are only subscribed if you sign up for the newsletter yourself.

Who sees your message

Your message is emailed to the club officers who answer the contact form, and a copy is stored in the website's database where only the club's administrator can read it. We do not share it with anyone else unless the law requires us to, or it is needed to protect the club, its members or the website. The newsletter list can be seen only by the club's administrator and the officers they give it to, to send the newsletter.

Services that help us run the site

These companies process information on our behalf, under their own privacy policies:

  • Vercel hosts the website.
  • Supabase stores the website's content and the contact messages we receive.
  • Our email provider delivers contact messages to the club's officers and sends our welcome and confirmation emails. We may change providers over time.
  • Cloudflare Turnstile checks that a contact form is being filled in by a person and not an automated program. To do this Cloudflare may look at technical information about your browser and connection.

Cookies and third-party content

The public pages do not set tracking or advertising cookies. A sign-in cookie is used only when the club's administrator logs in.

Some pages include content from other companies, which may receive information such as your IP address and may set their own cookies when it loads: the club calendar on the schedule page (Google Calendar), videos you choose to play on the gallery page (YouTube, using its privacy-enhanced mode), and links to our social media accounts. Links to other sites, including Harvard's donation portal, are governed by those sites' own policies.

How long we keep it

We keep contact messages for as long as they are useful to the club, for example to follow up with a prospective member or keep a record of an inquiry. You can ask us to delete your message at any time (see below). Server logs kept by our hosting provider are deleted on their own schedule.

We keep your newsletter details until you unsubscribe. When you do, we delete them from the mailing list and send you a one-time email to confirm.

Your choices

You can leave the mailing list at any time on our unsubscribe page, and every newsletter will link to it. You can also ask us to tell you what we hold about you, correct it, or delete it. Email us at harvardboxingclub@gmail.com from the address you used and we will respond promptly. Depending on where you live, you may have additional rights under local law, and we will honor valid requests.

Security

The site uses encrypted connections, access to messages is limited to the club's administrator, and passwords for our email account are stored encrypted. No website can promise perfect security, so please do not put sensitive information, such as financial or health details, in the contact form.

Children

This website is not directed at children under 13, and we do not knowingly collect their information. If you believe a child has sent us a message, contact us and we will delete it.

Changes to this policy

If we change this policy we will update this page and its effective date. Continued use of the site after a change means you accept the updated policy.
